1. Who we are

PropManager (“we”, “us”) provides property management software for landlords and property managers at property.didudi.com. This policy explains what personal data we collect, why we collect it, and the choices you have. It applies to account holders and to tenants whose information is entered into the service by a property manager.

2. Data we collect

We only collect what the service needs to function:

  • Account data — your name, email address, password hash (never the password itself), preferred language and currency, and profile details you add.
  • Property data — projects, buildings, floors, and units you manage, including addresses, unit attributes, and rent settings.
  • Tenancy records — tenant contact details, lease contracts, invoices, payments, maintenance requests, and documents uploaded to support them.
  • Technical data — sign-in timestamps and basic logs needed to keep the service secure and reliable.

We do not sell personal data, and we do not use it for advertising.

3. How we use it

  • To provide the service: dashboards, invoicing, reminders, and the tenant portal.
  • To send transactional email such as invoices, receipts, and overdue reminders.
  • To secure accounts, prevent abuse, and troubleshoot problems.
  • To meet legal obligations, such as accounting and tax record keeping.

4. Legal bases

Where the GDPR applies, we process account data to perform our contract with you, tenancy records under the legitimate interest of the property manager who entered them (who acts as data controller for their tenants), and technical logs under our legitimate interest in keeping the service secure.

5. Your rights

Subject to applicable law (including the GDPR), you can:

  • request access to the personal data we hold about you;
  • ask us to correct inaccurate data or complete incomplete data;
  • ask us to delete your data (“right to be forgotten”);
  • receive a machine-readable export of the data you provided (portability);
  • object to or ask us to restrict certain processing;
  • lodge a complaint with your local supervisory authority.

If you are a tenant, requests about records your property manager maintains should go to them first — they control that data; we process it on their behalf.

6. Retention and deletion

We keep data for as long as your account is active. When you delete records or close your account, the associated data is removed from the live database; encrypted backups roll off on a short fixed schedule. Invoicing records may be retained longer where bookkeeping law requires it.

7. Sharing and security

Data is stored on servers in the EU and is not shared with third parties except the infrastructure providers that host the service and deliver email, each bound by their own data processing terms. Connections are encrypted in transit (TLS), passwords are hashed, and access to production systems is restricted.
